Payroll System Setup & Training
One-time payroll system configuration with hands-on training so you can run payroll on your own with confidence.
What This Is
This is a one-time engagement to get a payroll system configured correctly and to walk you through how to use it. We set up the company profile, pay schedules, employee records, tax accounts, direct deposit, and the mapping into your bookkeeping file. Then we sit down with you and run through a live pay cycle so you can do it yourself going forward.
It fits business owners who want to keep payroll in-house but need it built properly the first time. If you would rather hand payroll off entirely every pay period, the Full-Service Payroll offering is the better fit.
The Setup
The Setup
Company information, federal and California tax accounts, pay schedules, earnings and deduction items, benefits, PTO policies, employee onboarding, and direct deposit. We also connect the payroll system to your books so entries post cleanly and without manual work.
The Training
The Training
Hands-on walkthrough of a real pay run from start to finish. How to enter hours, how to review before submitting, how to read the reports, and how to handle common situations like bonuses, off-cycle checks, and adjustments. You leave knowing what each button actually does.
Why It Matters
Payroll is one of the areas where a small mistake early on creates lasting problems. A misclassified employee, a wrong tax rate, or a state account that was never registered can sit quietly for months until a notice arrives from the IRS or the EDD. By then the penalties and interest have compounded and the records are harder to unwind.
California adds a layer most owners underestimate. Between state income tax, SDI, ETT, UI, sick leave rules, and local ordinances, the margin for error is narrow. A payroll system that is configured properly from day one removes most of the common sources of trouble before they start.
DIY Setup Risk
DIY Setup Risk
Most payroll platforms advertise quick self-service setup. The wizards are straightforward, but they assume you already know which answers are correct. Wrong entity type, wrong filing frequency, or a missed state registration can quietly produce months of incorrect filings.
Clean Integration
Clean Integration
Payroll data that feeds into your books without manual journal entries saves hours each month and keeps your financial statements accurate. Getting the mapping right at setup is much easier than fixing it after dozens of pay runs have already posted.
What Changes
You run your own payroll on a system that was configured correctly. Tax deposits and filings happen on schedule. Employees get paid on time through direct deposit. The entries flow into your books without you having to reconstruct anything by hand.
More importantly, you understand what you are doing. You know what the reports mean, where to look when something seems off, and what questions to ask if the system returns an unexpected result. That confidence is the point of the training.
Independence
Independence
After the engagement you are not dependent on an ongoing service provider for routine pay runs. You can process payroll on your own schedule, handle new hires as they come in, and pull reports whenever you need them.
A Foundation That Holds Up
A Foundation That Holds Up
When the business grows and payroll gets more complex, or if you later decide to hand it off entirely, everything is already built on a correct foundation. No cleanup work, no back filings, no sorting out which employee was set up wrong two years ago.
